Keeping track of maintenance costs
A simple approach to quotes, approvals and follow-up.
Agree authority to spend
Separate routine management from additional work. Agree which quotes need your approval and any spending limit. Decide what should happen if you cannot be reached.
Compare like-for-like quotes
Check that proposals cover the same work, including materials, labour, travel, taxes and exclusions. Price alone does not explain what you will receive. Ask for unclear points to be specified before accepting.
Keep decisions in writing
Retain the accepted quote and any later changes. If extra work becomes necessary, request its scope and cost before authorising it under the agreed procedure.
Check completion
Confirm what was done, what remains open and what documentation the provider supplies. A visual review does not replace technical certification where needed.
Keep an overview
A record for each job can include the date, provider, quote, approval, invoice and status. It helps you understand the home’s history and plan future maintenance without relying on scattered conversations.
